Project Overview

Replaces manual paper ledgers with a transparent digital inventory portal. Borrowers browse real-time gear availability, add multiple items to a session-based cart, upload authorization documents (SPJ), and track approval status with unique tracking numbers (YYYY-PJM-XXXX) and QR codes. Officers review requests in an administrative dashboard with automated stock locks upon approval.

The Problem

Manual paper-based equipment logs caused double-booking of emergency relief gear, unverified borrowing documents, untracked rental fee calculations, and slow return processing.

The Solution

Developed a session-driven multi-item cart requiring no prior user registration, automated duration and fee calculations, transactional stock allocation upon approval, SPJ file validation with orphan file cleanup, and a dynamic 20% proportional low-stock threshold alert.

System Architecture

Built with PHP 8.2 and Laravel 10 using Blade templates and Tailwind CSS. Relational database schema on MySQL utilizing Eloquent ORM with transactional approval updates, Laravel Session middleware for guest carts, and QR code generation.

Key Technical Challenges

Ensuring frictionless request submission for external borrowers while maintaining rigorous accountability, historic price snapshots, and atomic inventory deduction upon admin approval.

Lessons Learned

Storing price snapshots inside pivot transaction records preserves historical accounting integrity, while session-based guest carts dramatically reduce friction for infrequent non-profit borrowers.
